2. Website Use Policy

  • You agree to use our website only for lawful purposes and in a way that doesn’t infringe on the rights of others or restrict their use of the site.

3. Services Policy

  • Our services include HIPAA-compliant website design and development, along with credentialing support for healthcare providers and practices.
  • Service details, timelines, and deliverables will be outlined individually with each client prior to the start of work.
  • We do not provide billing, medical, legal, or financial advice. Our role is limited to the website and credentialing services agreed upon with each client.
  • Credentialing timelines can be affected by third-party payers, licensing boards, and other outside organizations beyond our control. While we work diligently on your behalf, we cannot guarantee specific approval dates from these outside parties.

4. Payments & Fees Policy

Website Payments (Milestone-Based)

Website services are billed in three milestones, ensuring both parties are protected and payment reflects work completed at each stage:

  • Milestone 1 (30%): Due once hosting, domain, and website theme setup are complete.
  • Milestone 2 (30%): Due once the website design is complete. At this stage, the website is visually complete, though functionality and compliance features are not yet added.
  • Milestone 3 (40%): Due once functionality and compliance features are added, including installation and configuration of secure plugins, HIPAA-compliant intake forms for collecting patient information, and security measures such as multi-factor authentication. Any section of the website where PHI (Protected Health Information) is collected, transmitted, or stored is made compliant, and the website itself is secured. At this point, the client receives a fully complete, functional, and compliant website.


Additional terms:

  • Each milestone payment is non-refundable once the corresponding portion of work has been delivered.
  • If payment for a milestone is not received, we will not proceed to the next milestone. Deliverables are only provided upon payment, and previously completed, unpaid milestones remain non-refundable.
  • If a client is unresponsive for 30 consecutive days during an active project, the project will be considered cancelled on the client’s end. All payments made up to that point are non-refundable.
  • If a payment is late, work on the project will pause until payment is received.
  • If a client chooses to cancel a project mid-milestone, payment is owed for the milestone currently in progress, based on work completed, not the previous completed milestone.


Credentialing Payments (Per Application)

Credentialing services are billed based on the number of applications submitted:

  • Clients are billed only after an application has been submitted and proof of submission has been provided. Proof of submission may include the name of the insurance representative contacted, a call reference number, the date of submission, written correspondence, or other documentation such as a payer portal screenshot.
  • Fees cover the submission and follow-up process itself. Approval decisions are made solely by the insurance payer and are outside of our control, so approval is not guaranteed.
  • If an application is rejected due to an error on our part, we will correct the error and resubmit the application at no additional charge.
  • Clients are only billed for applications that have been submitted, not for applications that are planned or pending for the future.
  • If a payer’s panel remains closed beyond 6 months, the client may choose to continue waiting for the panel to reopen or select a different payer to move forward with.

5. Client Responsibilities

  • Provide accurate, complete, and timely information needed to perform website and credentialing services.
  • Respond to requests for documentation or approvals in a reasonably timely manner, as delays may impact project or credentialing timelines.
  • Maintain the confidentiality of any login credentials or account access provided during the course of our services.

6. Limitation of Liability

While we are committed to providing high-quality, reliable service, [Your Company Name] is not liable for indirect, incidental, or consequential damages arising from the use of our website or services, including delays or denials caused by third-party organizations such as insurance payers or licensing boards.

Our total liability for any claim related to our services will not exceed the amount paid by the client for the specific service in question.

8. Termination of Services
